# E-Governance & Reporting

Attendance, District Awards, OCV, PPH Camp, Reports, Rotary Network, Sub Groups, TRF, Web Links and Website Data.

Compliance, reporting and the tools that keep your club's record straight.

## Attendance

Log a meeting or event and mark who attended.

**Add:** open **Attendance**, tap **+ Add Event**, create the event, then tick the members present and add guests.

| Event Name **\*** · Description **\*** · Event Date · Event Time · members present (tick) · guests: Name, Designation, Invited by |

**Edit or delete:** reopen an event to update attendance. Delete an event from its menu.

## District Awards (Citation)

The citation scorecard. Score your club against the district's award criteria.

**Add:** open **District Awards**, then work through the categories and questions and enter your scores.

**Edit:** update scores at any time before the district closes the year.

## OCV / GOV (Governor's Official Visit)

Upload documents for the Governor's visit and download the OCV report.

**Add:** open **OCV/GOV**, choose the Rotary Year, then upload each required document.

**Edit or delete:** re-upload to replace a document. Download the OCV report as Word or Excel from **Reports**.

## PPH Camp

Record a Preventive Primary Health camp and its attendees.

**Add:** open **PPH Camp**, tap **+ Add Camp**, then add attendees.

| Title **\*** · Location · Address · Description · Attendance Count · attendees: name, mobile, health readings such as BP, sugar, height and weight |

**Edit or delete:** edit the camp or its attendees, or delete from the menu.

## Reports

Download ready made reports of your club's data.

**Use it:** open **Reports**, then tap **Excel**, **Word** or both next to a report to download it.

Available reports include Members, Attendance, Dues, Projects, OCV/GOV and the Annual Report.

## Rotary Network

Your club's **Potential members** (prospects) and **Terminated members** lists.

**Add:** open **Rotary Network**, choose Potential or Terminated, then tap **+ Add**.

| Name · mobile · email · reference and notes for a potential member, or termination reason for a terminated one |

**Edit or delete:** from each entry's menu.

## Sub Groups

Group members together, for example a committee, so you can email just that group.

**Add:** open **Sub Groups**, tap **+ Add**, then name it and pick members.

## TRF Contribution

Record members' contributions to The Rotary Foundation.

**Add:** open **TRF Contribution**, then tap **+ Add**.

## Web Links

Add quick links for your club: websites, YouTube videos or PDFs.

**Add:** open **Web Links**, then tap **+ Add**.

**Edit or delete:** from each link. **Sort Order** controls the order they appear in.

## Website Data (edit your website)

Manage your club website's look and content.

**Use it:** open **Website Data**, then pick a section to edit.

**Edit or delete:** add and remove banners, adverts and links with their **+** and delete buttons.
